Privacy Policy

PaintersQuote is operated by Virtual Innovation Group Limited (“we”, “us”, “our”), a company based in New Zealand. This policy explains how we collect, use, store, and protect your personal information. We handle personal information in line with the Privacy Act 2020 and the Information Privacy Principles.

By creating an account and using PaintersQuote, you agree to this policy.

Information we collect

• Account details you give us: your name, business name, email, phone number, brand colour, and logo.
• Content you add while using the app: your clients' details (such as their name, address, phone, and email), the quotes you create, your rates and pricing preferences, notes, and any photos you take or upload.
• Voice recordings and transcripts when you record a walk-through or dictate a job. Audio is transcribed to text; we do not keep the raw audio after transcription.
• Usage information such as the quotes generated and basic technical logs needed to run and secure the service.

How we use your information

• To provide the service: create quotes, send them to your clients, and manage your account.
• To learn your quoting style. The information you enter teaches the system your rates, language, and the way you price work, so each quote is more accurate for you.
• To train and improve our system. Information entered into the platform is used to train and improve our quoting AI and the PaintersQuote service, so it works better for you over time. We may also use information in an aggregated or de-identified form to improve the product for all painters.
• To communicate with you about your account and the service.

AI and the providers we use

To run the service we use trusted third-party providers who process information on our behalf:

• Anthropic (Claude) to generate quotes from what you record or type.
• OpenAI (Whisper) to transcribe your voice recordings to text.
• Supabase to store data and files (hosted in Sydney, Australia).
• Vercel to host the application.
• Resend to send quote emails to your clients on your behalf.
• Google to look up and standardise addresses you enter.

These providers may store or process information outside New Zealand, including in Australia and the United States. We take reasonable steps to ensure they protect your information to a standard comparable with the Privacy Act 2020. We do not sell your personal information.

Your clients' information

When you add a client or take photos at a property, you are responsible for having a proper basis to collect and share that information with us. We process it only to provide the quoting service to you.

Storage and security

Your information is stored securely with access controls so that you can only see your own data. We take reasonable technical and organisational steps to protect it against loss, misuse, and unauthorised access.

How long we keep it

We keep your information while your account is active and for as long as needed to provide the service and meet our legal obligations. You can ask us to delete your account and associated data at any time.

Your rights

Under the Privacy Act 2020 you have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it if it is wrong. Contact us using the details below and we will respond within the timeframes required by law.
